Katharine House Gallery is an independently run business in Marlborough specialising in the buying and selling of Modern British artwork alongside rare and collectable books and antiquities.
Since the early 1990s, Katharine House Gallery has dealt in Modern British Art, with particular emphasis on the post-war period and offers an eclectic mix of affordable paintings, prints, constructions, sculptures and ceramics by Modern British artists.
Office Assistant
Katharine House Gallery, Marlborough is looking for a highly organised, confident and trustworthy Gallery Administrative Assistant to assist the Director in the day to day running of the business. Often being the first point of contact for visitors to the Gallery, the right candidate needs to demonstrate a professional, friendly and polite manner. The role involves proactive administrative support and the right candidate should be prepared to work alone from time to time.
Initially this is a 9 month fixed term part-time contract (with the possibility of extension)
18 ¾ hours a week over 3 days (days to be discussed) 10am – 5.30pm (Lunch from 1pm – 2.15pm)
Start date: 2nd October 2023 (date to be agreed for training to take place)
Salary: Starting at £15 per hour (£14,625 pa). This will be reviewed after a 1 month probationary period
Requirements:
- Used to working with Mac operating systems
- Have a good (intermediate) knowledge of Word and Excel
- Great customer service skills and strong communication skills, both written and verbal
- Previous administrative/office experience
- Ability to prioritise effectively and manage own workload
- Be willing to learn new IT and other skills
- Previous office management experience is desirable
- A knowledge of Adobe InDesign and Xero is desirable, but training can be provided
- An interest in art is desirable
Responsibilities:
- Assisting clients with enquiries face to face, over the telephone and by email
- Managing the Gallery inbox
- Managing contact & mailing lists
- Maintaining accurate stock lists
- Assisting with the production of exhibition catalogues
- Updating the Gallery website (along with social media)
- Recording sales and purchases
- Processing sales, handling cash and card payments and online banking
- Preparing invoices and receipts, ensuring all payments are received and recorded
- Assisting accountant and bookkeeper with HMRC and VAT submissions
- Managing the day to day running of the Gallery e.g. ordering supplies, managing utilities, ensuring industry regulations are complied with, etc.
- Handling fragile artwork (some manual handling required)
