| General Post Description | Oare CofE are seeking a school administration officer to join our forward-thinking team, working alongside the Principal, Finance Officer and School Business Manager, to ensure that the high ambitions we have for our pupils is reflected in the operational side of the school. |
| Main Duties | Regular: Receive visitors – professionals, pupils, service personnel and general public; provide assistance to them. Effectively distribute everything received through the office e.g. post, deliveries. Answer the telephone, transfer calls, take messages and deal with queries. Use of Office 365 Apps including; Outlook, SharePoint and Teams Maintain a check on the registers and pupil absence. Maintain a professional, attractive work environment and contribute to the upkeep of public spaces around the school. Undertake ancillary office duties including photocopying, sorting, collating and filing. Manage the school’s management information system (Bromcom). As required: Maintain the Single Central Record and carry out safeguarding checks. Update the website with new information when necessary. Maintain spreadsheet records e.g. Health and Safety checks, training records etc. Provide information / data for internal and external bodies. Process orders. Process In-Year transfers Liaise with the Principal, other admin staff, the Finance Officer and SBM as necessary. Support the smooth running of the school, by carrying out occasional tasks if others are not available. Liase between Principal and contractors regarding maintenance and work. Maintain a wary eye on premises issues and services, referring concerns to the premises department, as necessary. Contribute to the weekly newsletter. Fulfil other duties as requested by the Principal. Annually: Year end Admissions – September intake |
· The job requires competent office skills, but training will be provided on the systems used by the school
· The jobholder does not have regular responsibility for supervising staff, but may be required to assist in work familiarisation for new recruits.
· The main focus of the job is to carry out set procedures consistently.
· Decision making is not a key feature of the job, although the job holder may decide on the order in which to carry out the work.
· The jobholder is accountable for the accurate handling of cash.
